Real Estate Leasing Manager

Position Title: Real Estate Leasing Manager
Reports To: MCRES – NTC Senior Portfolio Manager (SPM)
Client – NTC CEO & COO
FLSA Status: Exempt, Full-Time
Salary: $100,000/yr

Summary

The Real Estate Leasing Manager is an on-site position responsible for overseeing all leasing activity within the Arts District Liberty Station (ADLS) portfolio. This position plays a critical role in maintaining strong occupancy, curating an engaging tenant mix, supporting the mission of ADLS and fostering positive relationships with tenants, brokers, community partners and perspective businesses. This position will serve as primary point of contact for tenants in all lease negotiations (renewals, expansions, and relocations), lease compliance, new tenant orientations, move ins and move outs and maintenance requests.

Essential Duties & Responsibilities

OPERATIONS:

  • Responsible for knowing and understanding the terms and requirements of each management and lease contract.
  • Market and lease available commercial spaces including retail, office, restaurant, gallery, artist studio, event and creative-used spaces.
  • Interpret lease provisions related to operating expenses, maintenance
    obligations, signage rights, insurance requirements, repair responsibilities, percentage rent provisions and renewal options.
  • Develop and maintain relationships with commercial brokers, prospective
    tenants, local businesses, and community stakeholders.
  • Conduct property tours and present available spaces to prospective tenants.
  • Respond to leasing inquiries and maintain consistent follow up with prospects.
  • Prepare leases, lease proposals, letter of intent, and coordinate lease negotiations with ownership (including renewals, expansions, relocations and amendments).
  • Track leasing pipeline activities, prospect status, and market trends.
  • Help curate a tenant mix that aligns with the ADLS mission and long-term strategic goals.
  • Evaluate prospect tenants based on financial strength, operational viability, compatibility with the project vision.
  • Participate in long-term planning decisions regarding repositioning, redevelopment and future leasing initiatives.
  • Build and maintain strong professional tenant relationships.
  • Assist in preparing leasing brochures, marketing packages and any CoStar
    listings.
  • Maintain accurate leasing files, prospect databases, and reporting systems.
  • Prepare periodic leasing reports summarizing occupancy, pipeline activity, expirations and market conditions.
  • Prepare all lease abstracts, coordinate with accounting and property
    management regarding lease administration.
  • Assist tenants through on-boarding, move-in coordination, and transition processes.

OPERATIONS – TENANT RELATIONS:

  • Serve as primary contact for all maintenance requests and oversee the tenant portal. Work with on-site Engineer to manage and close out all requests.
  • Learn and understand the Facilities Manager software within Yardi tenant portal.
  • Support positive communication between tenants and ownership.
  • Address tenant disputes, complaints, and operational conflicts professionally and diplomatically.
  • Regularly and proactively conduct property inspections as requested by Client, REM/SPM, and ensure all appropriate actions are completed, including taking the necessary steps to ensure all spaces such as vacancies and common areas are always tour ready.
  • Make recommendations to REM/SPM regarding property issues.
  • This position is generally scheduled Monday through Friday; however, flexibility is essential. Occasional evening and weekend availability will be required to support tenant needs, special events, property operations, and urgent property-related issues. The successful candidate should be responsive and available to address time-sensitive matters as they arise.

FINANCIALS:

  • Assist with annual budgeting and revenue forecasting related to leasing activity.
  • Understand tenant operating expense estimates, how expenses are calculated and budgeted.
  • As applicable, assist in preparation of monthly financial reports, variance reports and other reports for REM/SPM approval.

Senior Portfolio Manager

Position Title: Senior Portfolio Manager
Reports To: Principal(s), Vice President of Operations
FLSA Status: Exempt, Full-Time

Summary

Performs client relationship management and provides real estate advice, lease renewal negotiations, construction management and hourly billing of special projects for work which exceeds management contract scope. Interfaces with and supervises Real Estate Managers and Property Assistants in their day to day management of properties to ensure deadlines and commitments are met; and reviews budgets, monthly reports, and other data prior to client submittal.

Essential Duties & Responsibilities

OPERATIONS:

  • Ultimately responsible for successful management and operation of the portfolio.
  • Insure smooth transition for all new management contracts on your portfolio.
  • Assist in pricing and pitching of new management accounts for your portfolio.
  • Oversee amendments to management contracts on their portfolio.
  • Responsible for knowing, understanding and implementing the terms and requirements of each management contract (and the underlying job cost) under their supervision.
  • Oversight of day to day operations, vendors and maintenance of assigned portfolio of properties
  • Lease renewal negotiations and documentation preparation.
  • Client communication as required to ensure high satisfaction level.
  • Build and maintains client relationships, including sales presentations and client relationship manager roles.
  • Review and approves hourly time allocations for team and ensures portfolio meets budget.
  • Ensure team members are functioning efficiently and performing duties as required. Address performance issues (good or bad) in a timely manner.
  • Perform timely reviews on team members.
  • Provide guidance, mentoring and training to team members.
  • Meet quarterly with Principal(s) to present portfolio achievements and future goals.
  • Oversee contracted vendors and property staff to ensure they are meeting the terms of the contract and scope of work on behalf of the client.
  • Proactively conduct periodic property inspections and carry out all appropriate actions, including but not limited to, taking necessary steps to ensure all spaces such as vacancies and common areas are always tour ready.
  • Work with Project Manager on oversight of property and tenant construction projects. Ensure contracted projects adherence to building rules, regulations and specifications. Oversee all Capital and Major Repair projects. In the absence of a Project Manager, will be required to oversee the capital projects and tenant construction.
  • Develop and maintain positive relationships with tenant and vendor contacts.
  • Develop written communications to tenants for lease compliance and rent collection. Be familiar with all pertinent property information for assigned buildings including leases, management agreements, associations, and listing agreements.
  • Ensure maintenance requests are completed to the tenant’s (or client’s)satisfaction.
  • Ensure customer moves are coordinated by management team.
  • Ensure team’s deadlines are met, i.e. budget, reporting, CAM etc.
  • Oversee tenant insurance compliance and assists when necessary.
  • Ensure MJ procedures are followed by team members.
  • Respond to property after hour calls and emergencies, 24 hours per day, 7 days per week. If unavailable to respond, make prior arrangements to have calls responded by another team member.
  • Bill all SP/CMF/LC for properties.
  • Make recommendations to Principal(s)/VP Operations regarding property issues.

FINANCIALS:

  • Review of annual operating and capital budgets as prepared by Real Estate Managers in accordance to the budget guidelines. Work with clients for final approval.
  • Review and approve tenant operating expense estimates and reconciliations as prepared by Real Estate Manager and Accounting. Work with clients for final approval.
  • Ensure portfolio’s budget and projects are met and property goals are obtained.Ensure all projects are completed on time and within budget.
  • Review of required financial reports, including accruals, reclasses, management narrative, budget variance and other reports as prepared by Real Estate Manager and Accounting and as required for client.
  • Review and approve invoices daily to allow for efficient weekly check runs for each property.
  • Weekly updates of the commission sheet.
  • Ensure all rent and miscellaneous charges are collected timely.
  • Review major delinquencies, participate in resolution, if necessary, and communication regarding such to client.

OTHER:

  • Exhibit the highest degree of professionalism in all aspects when interfacing with tenants, clients, and service providers. Display integrity, loyalty, confidentiality,and professionalism always with co-workers and clients as well as adhere to the company’s highest standards of ethics and dress code.
  • Complete all deliverables for VP/Principal’s review as required.
  • Directly supervise 1 or more employees, with the oversight of additional lowerlevel subordinates. Actual number of employees can fluctuate at company’s discretion.

Senior Real Estate Manager (SREM)

Position Title: Senior Real Estate Manager (On-Site)
Reports To: Vice President
FLSA Status: Exempt, Full-Time

Summary

Oversee the day-to-day operations of the assigned portfolio. Senior Real Estate
Managers have contact with tenants and private contractors serving the property and with certain property owners. Key areas of responsibility include property budgeting, customer relations, property operations, construction, lease and contract administration and financial management, review, and analysis.

Essential Duties & Responsibilities

OPERATIONS:

  • Manage day-to-day operations, vendors, and maintenance of assigned
    properties.
  • As a primary tenant contact – enforce leases and ensure tenants’ service
    requests are responded quickly and efficiently.
  • Oversee contracted vendors and property staff to ensure they are meeting the terms of the contract and scope of work on behalf of the client. Handle any service issues and ensure that service meets quality standards.
  • Prepare for and lead weekly client meetings, providing detailed meeting notes which serve as the agenda for each property with updates on ongoing property and tenant matters; distribute meeting materials to the client by close of business the day prior to each meeting.
  • Regularly and proactively conduct property inspections as required by the
    Management Agreement as requested by VP/Senior Portfolio Manager, and ensure all appropriate actions are completed, including taking necessary steps to ensure all spaces such as vacancies and common areas are always tour ready.
  • Responsible for knowing and understanding the terms and requirements of each management contract and the underlying job cost under their supervision.
  • Coordinate with property leasing brokers regarding upcoming vacancies,
    showings, etc.
  • As applicable – Work with owner and/or assigned project manager on oversight of property and tenant construction projects. Ensure contracted projects & adherence to building rules, regulations and specifications. Oversee all Building Capital and Major Repair projects. If no project manager is available, manage the major property and construction projects.
  • Develop written communications to tenants for lease compliance and rent collection. Be familiar with all pertinent property information for assigned buildings including leases, management agreements, associations, and listing agreements.
  • Respond to maintenance requests and prepare work orders and/or purchase
    orders for service needs and ensure they are completed, tracked, and closed out
    for full satisfaction.
  • Ensure (tenant) customer move are coordinated, including scheduling a meet
    and greet, access, signage and other elements. Ensure all move out and
    restoration requirements are enforced.
  • Responding to property after hour urgent calls and emergencies, 24 hours per day, 7 days per week and make advance arrangements with supervisor if not available for after-hours calls due to vacation or illness.
  • Make recommendations to VP/Senior Portfolio Manager and owner/client regarding property issues

FINANCIALS:

  • Preparation of annual operating and capital budgets in accordance to the budget guidelines.
  • Review and approve tenant operating expense estimates and reconciliations.
  • Review and verify all budgeted expenses. Ensure all projects are completed on time and within budget.
  • Completion of monthly/quarterly financial reports, including reviewing accruals, need for reclasses, management narrative, budget variance report, and other reports as required for VP/Senior Portfolio Manager approval.
  • Prepare and present client’s custom monthly excel reports by required deadlines.
    • Deposit Tracker – Reports on dates that tenant paid rent and
      recommendations regarding late fees for any tenants paying after the 1st as well as collection efforts on any tenants with outstanding balances after the 5th.
    • Rent Roll and Lease Projections – Updates with any lease renewals, new tenants, and rent or CAM increase; add comments about renewals, upcoming extensions, etc; adds rent value for future years.
    • Monthly Reforecast Report – Actual Income & Expenses to date with the Budgeted Income & Expenses for remainder of the year.
  • Daily review and approve coding on invoices for each property per correct GL code.
  • Periodically review each property’s GL to ensure all invoices have been paid and properly coded, and that tenant’s bill backs are being collected.
  • Ensure that all rent and miscellaneous charges are collected in a timely manner.
  • Make delinquency calls and follow MC delinquency procedures if not received in a timely manner.
  • Submit capital costs, leasing commissions, TI allowances, etc. for reimbursement from Lender impounds, if applicable.

OTHER:

  • Employees are required to conduct themselves with the highest level of
    professionalism in all interactions with tenants, clients, service providers, and colleagues.

On-Site Office: This is an onsite position and requires the manager to work from the onsite office during established business hours (currently 9:00 a.m. – 5:00 p.m.), unless prior approval is obtained from the supervisor. Exceptions may include KMC property inspections, meetings at the MCRES corporate office, and other pre-approved business-related obligations.

Teamwork – Internal Department Support: Builds and maintains ongoing internal relationships; willingly assist other team members and focusing on team goals to help the company achieve its overall goals.
